The Problem

You already know where the gaps are.

Payroll is a spreadsheet nobody fully trusts, and month-end turns into an argument about deductions. Leave is still requested on WhatsApp. Warnings and contracts live in somebody's inbox. And when someone leaves, nobody agrees on what they're actually owed.

The Payroll Guessing Game

Deductions get argued about every month-end, because nobody — not even the person running payroll — is fully sure the PAYE, NSSF and SHIF figures are right.

Leave, Requested on WhatsApp

A leave request sent to a personal chat and approved from memory, with no record of who actually said yes, or when.

Contracts in Someone's Inbox

The signed contract everyone needs is a PDF attachment three email threads deep — if it was ever properly signed at all.

A Warning Nobody Can Produce

A verbal warning happened, and everyone remembers it — but there is nothing to show for it the day it actually matters.

Who Reports to Whom?

New hires get introduced by word of mouth. Six months later, nobody in the business can draw the org chart from memory.

An Exit With No Agreement

Someone leaves, and the business and the employee end up with two different numbers for what's actually owed.

How it works

One pay run, five stages, nothing skipped.

Every figure is computed, reviewed and locked before anyone is paid — then the filing-ready exports come straight from that same locked run.

Draft

Hours, overtime and allowances are entered for the month.

Computed

PAYE, NSSF, SHIF, the Housing Levy and NITA are worked out automatically, per person.

Approved

A named approver reviews the run and locks it before anyone is paid.

Paid

Payslips are generated and issued, matching exactly what was approved.

Filed

KRA and NSSF-ready exports are generated straight from the locked, approved run.

Nobody approves their own leave

A real process, not an honesty system.

A leave request moves from pending to manager-approved to approved — enforced by the system itself, so not even an admin can sign off their own time away. Kenyan public holidays are already built into the calendar.

  • Two-stage approval, every time
  • Seven leave types, entitlement tracked per person
  • A team calendar showing who is out at a glance

If you're responsible for people or payroll, this is for you.

Founders & MDs

See the whole business — people and payroll included — without chasing a spreadsheet nobody else can open.

HR & Office Admins

One place to keep records, run leave, and file staff documents, instead of a folder structure only you understand.

Finance Managers

Payroll figures you don't have to double-check, and filing exports that always match what was actually paid.

Line Managers

Approve leave and see your team's time off at a glance, without a WhatsApp thread to manage on top of the work.

One system

HR is one part of running the business.

You hire people, pay them correctly, and also win clients, deliver work, invoice, and collect payment. NAVAC HR is one part of NAVAC BMS — the same login also carries your client records and sales pipeline, your invoicing and M-Pesa collection, your email, SMS and WhatsApp, and depending on your business, logistics, insurance workflows, projects, and a portal for your clients. You are not buying an HR tool and then buying four more systems.

Questions

Straight answers, before you ask.

Does NAVAC HR replace our accountant?

No. NAVAC HR computes payroll correctly and produces the filing-ready exports — your accountant or tax advisor still reviews and files them, and handles anything outside standard payroll.

Do we have to run payroll to use the rest of HR?

No. The staff directory, leave, contracts, conduct records and performance reviews all work with payroll switched off — payroll is one part of the module, not a requirement for the rest.

What happens to a person's records when they leave?

Their login is deactivated and their seat is released, but their record — contracts, leave history, conduct record, payslips — stays on file, read-only, the way Kenyan law expects an employer to keep it.

Is this actually compliant with Kenyan law?

The payroll engine is built directly against current PAYE, NSSF, SHIF, Housing Levy and NITA rules, and final dues, notice pay and certificates of service follow the Employment Act. Rates are versioned by date, so a historical payslip always recomputes to the same figure.

Can we try it before paying for anything?

Yes. Fourteen days free, no card required, with every module — not just HR — switched on.

Will our team need training?

Adding a staff member, requesting leave, and running a pay-run are handled in straightforward screens. Onboarding includes guidance on the payroll run and the statutory filing exports specifically.
